
Self Assessment: Why filing early is the ultimate tax-saving hack

In his book Four Thousand Weeks, Oliver Burkeman points out a frustrating truth about modern working life. He argues that getting better at managing your time doesn’t lead to ease or freedom – it tends to make you busier.
When we get faster at clearing our to-do list, we do not usually get a break. We just fill the empty space with more chores.
We want to change that. The goal of automating your service business should not be to squeeze in three more client calls. It should be to log off early and enjoy your life.
With that in mind, here are three digital tools that can collectively save you several hours every week.
1. Xero: The Cloud Accounting Hub
If you are still tracking invoices on spreadsheets or logging into three different bank accounts to check payments, you are losing hours to admin.
Xero acts as the digital engine room for your business finances.
- Automated bank feeds: Your transaction data flows in overnight, ready to be matched. Set up bank rules, process your bills and receipts through Xero, and you’re saving all the data entry that comes with a spreadsheet.
- Smart invoicing: Set up automatic reminders so you do not have to chase overdue payments yourself.
- Real-time clarity: You always know your cash flow position without running manual calculations.
By moving your day-to-day finances to Xero, you eliminate the weekly scramble to update your books.
2. Dext Prepare: The End of Receipt Hunting
Paper receipts and emailed invoices have a habit of cluttering up bags, pockets, and inboxes. Hunting for them at the end of the month is a massive time drain.
Dext Prepare prepares your financial data for you automatically.
Whenever you buy something for the business, you simply snap a photo of the receipt on the Dext app. The software reads the supplier, the date, and the tax amount, then pushes that information straight through to Xero. This exchange can happen dozens of times a week for most service business owners, and it is a huge drain on your time and inbox.
A scheduling tool like Calendly (there are others – Zoom now has functionality to do this direct) solves this completely. You set your available hours, share a ink with a client or prospect, and they book directly into your calendar. No emails, no negotiation, no double-booking.
It is one of those tools that feels almost too simple – until you realise how much mental energy you were spending something that should never have required it.
A Word on AI
These three tools are well-established and easy to get started with, but the landscape of time-saving technology is moving quickly. AI writing assistants are already helping business owners draft emails, summarise documents and handle routine correspondence in a fraction of the time it used to take.
We are not going to recommend one specific tool here – the options are evolving fast and the right fit depends on how you work. But if you have not yet experimented with AI in your day-to-day workflow, is is worth exploring. The potential to claw back another hour or two each week is very real.
Balancing the Tech with the Human Element
Tools like Xero, Dext, and Calendly are excellent for handling the digital parts of your business. But they only work well when they serve the human heart behind the company.
