At Seed Accounting Solutions, we work part time and flexibly, and we’ve learned a lot about how to make it work – for ourselves and for our clients.
Here are five tips that help us manage expectations and maintain balance:
1. Be Upfront with Your Clients
These days, most people understand flexible working. They just want to know what to expect. That’s why we talk about how we work from the very first Discovery Call. We explain that our whole team works part time and on flexible schedules, so clients know they may not always get an immediate response but that we will get back to them thoughtfully and reliably. Clear communication builds trust from the outset.
2. Use Appointment Scheduling Tools
Avoid endless email ping-pong by using a tool like Calendly (our go-to!). It syncs with your calendar, shows your availability, and lets clients book time that works for both of you. You can block out time for deep work, school runs, or holidays, and adjust it as needed. It puts you in control and helps clients feel empowered too.
3. Consider a Call Answering Service
Sometimes, you just can’t answer the phone and that’s okay. A call answering service can help bridge the gap. Even a basic service that takes messages and emails them to you is a game-changer. It means clients don’t hit voicemail, and you’re not trying to have a professional conversation while your toddler throws snacks at the wall.
4. Communicate Availability Clearly and Kindly
Make it easy for clients to know when they can expect a response. This could be a note in your email signature, a pinned post in your client portal, or a quick auto-reply. Letting people know your working hours avoids frustration and shows that you value their time and your own.
5. Be Kind to Yourself
Finally and perhaps most importantly give yourself permission to rest. You’re doing a lot. Sometimes that means working a few evenings. Other times it means saying no, or asking for help. Find small ways to protect your own energy, like carving out a quiet hour that’s just for you or doing a childcare swap with a fellow business owner so you both get time to focus.
